Introduction

This Privacy Policy explains how Aggie ("we", "us", "our") collects, uses, and protects your personal data when you use our AI call screening service at heyaggie.uk.

We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What data we collect

When you sign up for Aggie

  • Your name
  • Email address
  • How you plan to use Aggie, such as main contact number, voicemail replacement, or both
  • UK phone number assigned to you

When someone calls your Aggie number

  • Caller's phone number from caller ID
  • Caller's name, if provided during the call
  • Caller's company, if provided during the call
  • Caller's email address, if provided during the call
  • Caller's phone number, if provided during the call
  • Call recording as an audio file
  • Call transcript as a text version of the conversation
  • Call summary, including call type, urgency flag, and recommended action
  • Call metadata, including date, time, duration, and caller ID

  • IP address
  • Browser type and version
  • Device information
  • Pages visited and time spent
  • Referral source

We do not use cookies or tracking scripts on the landing page at launch.

Legal basis for processing

We process your personal data under the following legal bases.

How we use your data

We use your personal data to:

  • Answer calls on your behalf and screen callers
  • Transcribe call conversations using speech-to-text technology
  • Generate call summaries with caller details and recommended action
  • Send call summaries to your email address after every call
  • Classify calls into categories such as sales, recruitment, personal, professional, and unclear
  • Flag urgent calls when indicated by the caller
  • Communicate with you about your account and service updates
  • Improve our AI assistant's performance
  • Comply with legal obligations

Who we share your data with

We use trusted third-party service providers to deliver our service. These processors have access to personal data only as needed to perform their functions and are contractually obligated to protect it.

All third-party processors are GDPR-compliant and have signed Data Processing Agreements with us or provide standard contractual clauses for international data transfers.

We do not sell your data to third parties. We may disclose your data if required by law, court order, or to protect our rights and safety.

International data transfers

Some of our service providers are located in the USA. Data transferred outside the UK is protected by:

  • Standard Contractual Clauses approved by the ICO
  • Adequacy decisions where applicable
  • GDPR-compliant Data Processing Agreements

How long we keep your data

  • Call recordings: 30 days, then automatically deleted
  • Call transcripts and summaries: 90 days, then anonymised or deleted
  • Caller contact details in summaries: Retained as long as you have an active account, or until you request deletion
  • Your account information: Retained while your account is active, plus 12 months after closure for billing and legal compliance
  • Marketing consent records: Retained for 3 years after consent withdrawal

You can request early deletion of specific calls or all your data at any time by emailing privacy@heyaggie.uk.

Your rights under UK GDPR

You have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Correct inaccurate or incomplete data
  • Erasure: Request deletion of your data, also known as the right to be forgotten
  • Restriction: Limit how we process your data in certain circumstances
  • Portability: Receive your data in a structured, machine-readable format
  • Object: Object to processing based on legitimate interests
  • Withdraw consent: Opt out of marketing or withdraw consent at any time
  • Complain: Lodge a complaint with the ICO at ico.org.uk/concerns

To exercise any of these rights, email privacy@heyaggie.uk with your request. We will respond within 30 days.

Call recording disclosure

Important: All calls to your Aggie number are recorded for the purpose of providing the service, including transcription, summarisation, and message delivery. Callers are informed of this at the start of every call.

Aggie's opening greeting includes:

"Hi, you've reached [Your Name]'s line. This call is recorded. I'm Aggie, an AI assistant, happy to help."

By using Aggie, you consent to the recording of calls made to your assigned UK number. Callers who do not consent can end the call at any time.

Data security

We implement appropriate technical and organisational measures to protect your data, including:

  • Encryption in transit using TLS/HTTPS
  • Encryption at rest for stored recordings and transcripts
  • Access controls and authentication
  • Regular security audits of third-party processors
  • Automated deletion of recordings after 30 days

No system is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

Children's privacy

Aggie is not intended for use by anyone under 18. We do not knowingly collect data from children. If we become aware that we have collected data from a child, we will delete it promptly.

Changes to this policy

We may update this Privacy Policy from time to time. The "Last Updated" date at the top will reflect changes. Significant changes will be communicated via email.

Agreement to Terms

By signing up for Aggie ("the Service"), you agree to be bound by these Terms and Conditions ("Terms"). If you do not agree, do not use the Service.

You ("the User"): The individual or business registering for and using the Service.

Description of Service

Aggie is an AI-powered call screening assistant that:

  • Provides you with a dedicated UK phone number
  • Answers calls to that number on your behalf
  • Conducts conversations with callers using AI voice technology
  • Collects caller details including name, company, phone, email, and purpose
  • Classifies calls into categories including sales, recruitment, personal, professional, and unclear
  • Flags urgent calls when indicated by the caller
  • Sends you a summary email after each call with caller information and a recommended action
  • Records all calls for transcription and summarisation purposes

Aggie is an AI assistant and may make mistakes. You are responsible for verifying information before acting on call summaries.

Free Trial

New users receive 5 free calls to try the Service.

  • No credit card is required for the free trial
  • A "call" is counted when a caller connects and Aggie begins the conversation
  • Incomplete or abandoned calls, including calls where the caller hangs up before providing details, still count toward the trial limit
  • The trial ends when you have used all 5 calls or choose to upgrade to a paid plan
  • After the trial ends, your UK number will stop accepting calls until you upgrade

Use of Your UK Number

You may use your Aggie UK number:

  • As your main business contact number
  • As a voicemail replacement for missed calls
  • As a secondary contact number alongside your personal mobile
  • For both personal and professional calls, where appropriate

You may not use your Aggie number:

  • For illegal activity or fraud
  • To impersonate another person or business
  • For automated or spam calling
  • To harass, abuse, or threaten callers or Aggie's systems
  • To circumvent the call limits or billing systems

We reserve the right to suspend or terminate numbers used in violation of these Terms.

Call Recording and Disclosure

All calls to your Aggie number are recorded.

Aggie informs every caller of this at the start of the call with the greeting:

"Hi, you've reached [Your Name]'s line. This call is recorded. I'm Aggie, an AI assistant, happy to help."

By using the Service, you:

  • Consent to the recording of all calls to your UK number
  • Acknowledge that callers are informed of the recording
  • Understand that recordings are processed by third-party AI services for transcription and summarisation, as described in the Privacy Policy
  • Accept responsibility for ensuring your use of call recordings complies with UK law

If you operate in a regulated industry, including legal, medical, or financial services, you are responsible for ensuring call recording complies with your industry's specific requirements.

AI Limitations and Disclaimer

Aggie is powered by artificial intelligence and may:

  • Misunderstand callers or transcribe speech incorrectly
  • Misclassify call types or urgency
  • Fail to capture all caller details accurately
  • Experience technical issues or downtime

You acknowledge that:

  • Aggie is a tool, not a replacement for human judgment
  • You are responsible for verifying information in call summaries before acting
  • We are not liable for decisions you make based on Aggie's summaries
  • Important or time-sensitive calls should be followed up directly with the caller

Service Availability

We aim for high availability but do not guarantee uninterrupted service. The Service may be unavailable due to:

  • Scheduled maintenance, where we will notify you in advance when possible
  • Technical issues with our infrastructure or third-party providers
  • Force majeure events including natural disasters, strikes, or government actions

We are not liable for missed calls or business losses due to service interruptions.

Acceptable Use

You agree not to:

  • Abuse, threaten, or harass Aggie or our support team
  • Attempt to reverse-engineer, hack, or exploit the Service
  • Use the Service to violate any laws or regulations
  • Share your account access with unauthorised users
  • Resell or sublicense the Service without written permission

Violation of these Terms may result in immediate account suspension or termination.

Intellectual Property

All content, technology, and branding related to Aggie, including the AI assistant's voice, conversation design, and software, are owned by us or our licensors.

You retain ownership of:

  • Your business name and branding
  • Your caller data
  • Call summaries sent to you, although we retain a copy in accordance with our Privacy Policy

You may not use our name, logo, or branding without written permission.

Data Protection and Privacy

Your use of the Service is governed by our Privacy Policy, which explains how we collect, use, and protect caller data.

In summary:

  • We process caller data on your behalf to deliver the Service
  • We retain call recordings for 30 days, then delete them
  • We retain call summaries for 90 days unless you request earlier deletion
  • You can request deletion of specific calls or all your data at any time

Payment Terms

Payment terms for paid plans will be published once pricing is confirmed. These terms will include subscription pricing, billing cycle, accepted payment methods, refund policy, failed payment handling, and cancellation terms.

Termination

You may terminate your account at any time by emailing hello@heyaggie.uk. Upon termination:

  • Your UK number will be deactivated within 24 hours
  • You will receive a final email with summaries of any pending calls
  • Your data will be deleted in accordance with our Privacy Policy retention periods
  • You will not receive a refund for unused time on paid plans unless otherwise stated in a refund policy

We may terminate your account if:

  • You violate these Terms
  • You use the Service fraudulently or illegally
  • Your payment fails and you do not update your payment method within 7 days, for paid plans
  • We discontinue the Service, in which case we will provide 30 days' notice

Limitation of Liability

To the fullest extent permitted by UK law, we are not liable for:

  • Indirect, incidental, or consequential damages
  • Lost profits, revenue, or business opportunities
  • Missed calls or inaccurate call summaries
  • Decisions you make based on Aggie's summaries
  • Data loss due to your failure to back up call summaries
  • Third-party service failures involving Voiceflow, Deepgram, ElevenLabs, or Gmail

Our total liability for any claim related to the Service is limited to the amount you paid us in the 12 months prior to the claim, or £100 if you are on the free trial.

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot be excluded under UK law.

Indemnification

You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from:

  • Your violation of these Terms
  • Your use of caller data in violation of UK data protection law
  • Your misuse of the Service
  • Your violation of any third party's rights

Changes to These Terms

We may update these Terms from time to time. Significant changes will be notified via email at least 7 days before they take effect.

Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

Governing Law and Disputes

These Terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.

Before initiating legal proceedings, we encourage you to contact us at hello@heyaggie.uk to resolve disputes informally.

Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full effect.

Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Aggie regarding the Service.
